About the Role

We’re looking for a highly adaptable, execution-focused People Operations & Development Coordinator to support and continuously improve the full employee lifecycle - from recruiting and hiring through onboarding, training, and ongoing development.
This is a hands-on, high-impact role that sits at the intersection of HR Operations, Talent Acquisition, and Learning & Development. You won’t just coordinate processes – you will own them, improve them, and step in wherever needed to keep things moving.
Our environment is fast-paced and often evolving. Priorities can shift quickly, and not every situation will come with a clear playbook. Success in this role requires sound judgment, strong decision-making, and the ability to take action, learn quickly, and adjust course when needed.
You will play a critical role in ensuring employees meet all California BSIS and Private Patrol Operator (PPO) compliance standards, client-specific requirements, and internal performance expectations - while helping build scalable, efficient people processes that support company growth.

What You’ll Do
Recruiting & Hiring (~20%)

  • Own day-to-day execution of recruiting operations, ensuring roles move efficiently from opening to offer
  • Coordinate job postings, candidate screening, and interview logistics with a strong focus on speed and candidate experience
  • Partner with hiring managers to drive structured, consistent, and effective interview processes
  • Proactively manage candidate pipelines and anticipate hiring needs
  • Prepare and issue offer letters and pre-employment documentation with accuracy and urgency
  • Track and analyze recruiting metrics (time-to-fill, pipeline health, conversion rates) and identify areas for improvement
Onboarding & Employee Experience (~20%)
  • Own and continuously improve the onboarding experience from offer acceptance through job readiness
  • Build structured, repeatable onboarding processes while adapting to real-time needs and constraints
  • Facilitate new hire orientation and ensure all compliance and documentation requirements are completed on time
  • Partner with managers to ensure clear onboarding plans and accountability for 30/60/90-day milestones
  • Act quickly to resolve onboarding gaps or issues to ensure a smooth employee experience
Training & Compliance (Primary Focus ~40%)
  • Lead coordination and delivery of training programs to meet CA BSIS, PPO, and client-specific requirements
  • Facilitate engaging in-person and virtual training sessions; adapt delivery style based on audience and situation
  • Identify training gaps and take initiative to improve content, format, and delivery methods
  • Track and enforce training completion, certifications, and renewals with a high level of accountability
  • Partner closely with the Qualified Manager (QM) and HR to ensure full regulatory compliance at all times
  • Step in quickly to address urgent compliance or training issues and drive them to resolution
HR Operations & Compliance (~10%)
  • Maintain accurate and up-to-date employee records across HR systems
  • Ensure compliance with I-9s, certifications, audits, and internal documentation standards
  • Support performance management processes and employee documentation
  • Respond to employee inquiries with professionalism, clarity, and urgency
  • Assist with offboarding and ensure clean, compliant transitions
Safety, Reporting & Operational Support (~10%)
  • Support safety training initiatives and compliance tracking across the organization
  • Maintain and improve dashboards and reporting tools (HRIS, Excel, Google Sheets)
  • Deliver regular reporting on hiring, training, and compliance metrics with actionable insights
  • Identify inefficiencies and take initiative to improve processes and workflows
  • Support cross-functional projects and step into operational needs as they arise

Required Qualifications
  • Minimum 3 years of experience in training, HR coordination, recruiting, or a related field
  • Demonstrated ability to manage multiple priorities in a fast-paced environment
  • Strong decision-making skills and ability to act with limited direction
  • Eligible to obtain California BSIS certification and comply with PPO requirements
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Excel and Google Workspace
  • Ability to work flexible hours when needed to support operations

Preferred Skills
  • Experience supporting full-cycle recruiting in a high-volume or fast-paced environment
  • Experience facilitating in-person and/or virtual training sessions
  • Familiarity with instructional design or adult learning principles
  • Experience with HRIS, ATS, or LMS platforms (e.g., Rippling or similar systems)
  • Experience tracking and reporting on compliance, hiring, or performance metrics
  • CPR/AED Trainer certification (or willingness to obtain)

CSS' maintains a primary office location at Moffett Federal Airfield (MFA) in Mountain View, CA. The Federal Government has primary Law Enforcement authority at this location. Federal Law and Rules apply to both on-duty and off-duty conduct within the MFA/NASA Ames Research Center Property boundaries. CSS employees may undergo Federal Background Checks in conjunction with their assigned role.
